Digital Transformation at Heineken Slovakia: How hForms Revolutionized Business Processes 

The Challenge

Heineken Slovakia faced significant inefficiencies in processing operational requests, which sales representatives submitted in various formats, including Excel sheets, emails, and even paper. These requests ranged from installing dispensing equipment to ordering goods for events or promotional materials. This fragmented approach created several issues:

  • Increased administrative burden 

Sales representatives often faced prolonged uncertainty about their requisitions’ status, and accountability for approvals or processing was unclear. This outdated system slowed the entire organization, reduced productivity, and created significant inefficiencies. 

The Solution

To address these challenges, Heineken Slovakia partnered with Ness Czech to design a modern workflow system that would streamline operational processes. Ness developed hForms, a digital solution leveraging Android application technology integrated with the company’s existing CRM system, Jáchym. 

The hForms solution includes: 

  • A mobile application: Enables sales reps to create requests directly from their company tablets with real-time validation and automated approvals. 
  • Email-based approval workflows: Allows managers to approve or reject requisitions with a single click. 
  • A web-based configuration portal: Provides administrators with a centralized interface to manage and customize the workflow.

The agile development approach enabled rapid iterations and adjustments based on user feedback, ensuring a solution tailored to Heineken Slovakia’s needs.
